This information is important for Faculty and Staff in Towers 5 & 8.

As I am sure you are aware, MCC began implementation of the SUNY Managed Print Initiative in both Faculty Towers this past September. At that time, new Shared Multi-Function HP Devices were installed in Building 5 on floors 2 through 5, and in Building 8 on floors 2 through 6. There are 2 new HP devices on each of these floors. This letter and the attached documents provide additional information and lay out the next steps in the implementation, with regards to the Faculty Towers.

Shared Printer Locations

Building 5

One Device is located in the Elevator Lobby, on each floor, floors 2 through 5. Additional Devices are located in the following rooms:

  • Room 5-236
  • Room 5-342
  • Room 5-436
  • Room 5-543

Building 8

One Device is located in the Elevator Lobby, on each floor, floors 2 through 6. Additional Devices are located in the following rooms:

  • Room 8-212
  • Room 8-330A
  • Room 8-434
  • Room 8-510
  • Room 8-626 (this device will be relocated to another location on floor 6, room TBD)

In some cases, the second device on a floor was put in a Faculty Office, a Faculty Secretary’s Office, or in a shared Resource Room or Adjunct Office. This was due to not being able to put the second machine in a hallway because of ADA compliance and fire code issues. In a couple of instances, the secondary location was deemed as ok because at least half of the occupants of that particular floor would have a key to the secondary location, in the event it was locked or after hours. For example: all Math Department Faculty have a key to Room 8-510, as it is the Math Department Office. That same thought process was applied on the second floor – Room 8-212 is the Chemistry/Geosciences Adjunct Office and Resource Room. Again, a good portion of the faculty on that floor are Chem/Geo and would have a key to that room if it was locked.

We realize that there may still be concerns regarding the location of some of the secondary machines. Please send an email stating any questions or concerns to the Managed Print Program (SUNYPrintProgram@monroecc.edu) and we will follow up with you as soon as workable.

Removal of Single Function Printers from the Towers

This process is scheduled to begin on March 4th, 2024. Please refer to the Tentative Schedule for Printer Removals for additional information.

Adding the Shared Device to Your PC – Setting It Up as Your Default Printer

Please refer to How to Print to a Shared Device for information. The shared devices share a print queue named “Brighton Print Release Stations.”

Printing at Any of the Shared Devices

For confidentiality and security reasons, all shared devices have been equipped with a card reader. Once you have added the Shared Device print queue to your PC as your default printer (see previous section above), you will print your document as usual from your PC or Laptop. However, your document will not actually print until you walk up to one of the devices with your MCC Badge and release your job. Tap your badge, your print jobs will show up on the screen, and you can select what you would like to print.

Your sent print jobs will stay in the queue for 24 hours. If you do not actually print them within that time frame, they will be deleted from the queue.

Paper and Toner Supplies

Shared Devices by the Elevators

Julissa Rivera, from Communications and Network Services, will keep an eye on the elevator machines for the interim. We will be placing two-drawer cabinets near each of these machines in the next couple of weeks. The cabinets will hold paper and any toner supplies needed. Julissa will make the rounds to these machines on a regular basis to load the paper trays and re-fill the cabinets when needed.  However, if you go to print something and see a message that the machine is low on paper, please check the cabinet for supplies and fill the machine before calling Julissa or the Help Desk.

Shared Devices NOT by the Elevators

A couple of these machines could potentially be moved to different rooms on their respective floors. This is currently under discussion. Additional adjustments may need to be made as we work through this process.

Once these locations are finalized, we will be looking for volunteers to keep the supplies stocked and the machine filled with paper. In the meantime, anyone can call the print shop for a box of paper to be delivered to that room location when needed.

Color Printing

Please plan ahead for any large quantity color print job and request those through the Print Shop. The Print Shop offers a quick turnaround time and they can deliver to your location the next morning. Pick-up in Building 3 is also an option.

We still intend to provide one color printer to each Tower for those urgent situations where a small number of color prints might be needed immediately.  We will provide details and instructions once we are ready to place these two printers in the Towers.

The Shared Machine is Down, Not Functioning, Displaying an Error Message

There is a Toshiba Sticker on the front of each Shared Device. The sticker has instructions on how to get assistance from our Help Desk when needed.

Remember: You can always go to any other Shared Device to release your print job, even a machine on a different floor.

You can actively assist with this program by taking the following steps:

  • Decrease printing overall, save and distribute documents in a digital format.
  • If you do need to print, please print documents double-sided.
  • Send any large-volume color print jobs to the Print Shop.

All questions, suggestions, and feedback related to the SUNY Print Program can be submitted to Managed Print Program (SUNYPrintProgram@monroecc.edu). Do not submit requests for printer service to this email address. Instead, please follow the instructions on the sticker on the front of the shared device.
